Login and opening a shift — Paloma365 Classic (Windows POS)
This article covers Paloma365 Classic — the POS application for Windows. Signing in has two levels: the terminal logs in once with the workplace credentials, then each employee enters their personal code on the start screen. Sales are not possible until a shift is open.
Logging in
Step 1. Workplace login
- "Region" — choose "Kazakhstan" or "Russia", matching your account.
- Fill in "Workplace login", ""Workplace" password" and "Paloma365 account login".
- Tick "Remember" so the POS signs in automatically next time.
- Press "Enter".
These credentials are created and managed by the administrator in the Paloma365 web dashboard — ask your account administrator if you do not have them. "Support" opens support contacts; "Exit" closes the program.
Step 2. Employee login
On the start screen (hint: "To enter, swipe your card or enter password") the employee types their personal code on the numeric keypad and confirms — or swipes an employee card: the card reader simply types the code for them, no separate card setup is needed. The POS opens the interface assigned to them (cashier, waiter, etc.); if several are assigned, a selection of numbered tiles appears — tap a tile or press the matching digit key; Esc returns to the code entry.
Employee codes are managed by the administrator in the dashboard, Employees section. A lost code cannot be reset on the POS.
Start screen menu and exiting the program
The start screen has a "MENU" button with service items:
- "Settings" — local POS settings (see Local settings);
- "Sync" — forced synchronization with the account (shown when sync is enabled for the workplace);
- "Support" — support contacts;
- "Time tracking" — employee clock-in/clock-out (shown when time tracking is enabled, see Time tracking);
- "Ready orders" — the ready-dishes screen (shown when that screen is enabled).
Next to the menu is the exit button (a cross icon). Exiting works like this:
- If a sync is running, the POS asks to "Wait till the end of sync".
- The POS asks: "Do you want to close the program?".
- If an exit password is set for the outlet in the dashboard, the prompt "Enter the password to "Exit"" appears; with no password set, the program closes without asking.
- If the "Turn off the computer" option is enabled (in the POS local settings or in the outlet settings in the dashboard), the computer shuts down automatically after the program closes, with no extra question.
Opening a shift
- Enter the cashier interface and press "Start the shift".
- Confirm the question "Shift has not started" — "Do you want to start the shift?".
- Depending on the settings, the window "Specify the amount at the beginning of the shift" may appear — enter the cash in the drawer and confirm.
The POS records the opening time and the employee. If you enter the sales interface without an open shift, the POS either offers to open one or shows "Shift has not started" — open it from the cashier interface.
The shift belongs to the workplace, not to a person: to change cashiers press "Exit", and the next employee signs in with their own code. Every sale is recorded under whoever is signed in.
To change the employee on a specific order: select the order on the cash screen, press "Options", then "Change the employee" — the "Choose an employee" window opens; pick the new employee from the list and press "Select". This requires the "Change employee" permission — without it the POS shows "Permission denied!". The employee can be changed only on an order that has no employee assigned yet, or on an unlocked, unpaid order — otherwise the POS shows "Change employee only on active or unprinted bills!".
Common problems
- "Incorrect login and password" — check all three login fields and the region; verify the credentials with your administrator. A server response window, if shown, states the reason.
- "Wrong password!" on the employee code — the administrator changes the code in the dashboard, Employees section.
- "Employee doesn't have access to this workplace!" / "Employee can not start working, because he does not have available interfaces!" — the workplace link or interface is not assigned to the employee; both are dashboard settings.
- "The employee does not have the "system user" option enabled!" — the employee exists in the dashboard but is not allowed to work on the POS. The administrator should open the employee card and enable the "system user" option on the main tab.
- "Shift started N hours ago" — a warning (not a block): the local setting "Check shift hours count" is on and the current shift has been open longer than the limit. You can keep working, but close the forgotten shift — it skews daily reports.
- "A discrepancy between the data of the current "Account" and the data in the "Local Database" was detected. Continue?" — the workplace signed in under one account while the local database on this computer belongs to another. "No" lets you pick another database; "Yes" continues with the current one. If this appears unexpectedly, do not continue — verify the logins with your administrator, otherwise sales may land in the wrong account.
- "Shift has already started" — a shift is already open; just continue working.
- "Shift is already closed" — you are closing an already-closed shift; open a new one to work.
- "Shift opening error" — try again; if it persists, check the internet connection and message us here — a specialist will join.
FAQ
A cashier forgot their code. What now?
The administrator changes it in the dashboard, Employees section; the employee signs in with the new code.
One cashier opened the shift, another is working. Is that OK?
Yes — the shift is shared by the workplace; employees switch via "Exit" and their own codes.
