Overview
Notifications are sent by a dedicated Telegram bot, @paloma365_notify_bot. Each employee connects individually: they share their phone number with the bot, and the system links their Telegram to the employee card by matching the number. After linking, the employee chooses which event types to receive.
How to Set Up
Step 1. Enable the integration
- Open App Store (
/apps). - On the Telegram card, turn on "Activate Notifications" and save.
Step 2. The employee connects to the bot
- The employee opens the @paloma365_notify_bot bot and sends the
/startcommand. - The bot asks to share a phone number — tap the share-number button. The number must match the phone specified in the employee card in Paloma365.
Step 3. Link the employee in the dashboard
- Open the employee card (Guides > Employees) and check the Phone field — it must match the number sent to the bot.
- Click the Telegram button on the employee card. The system finds the employee by phone number and links their Telegram — a confirmation appears.
Step 4. Choose which notifications to receive
- On the employee card, turn on the "Send notifications" switch.
- Click "Notification settings" and check the event types you need.
- Click Save.
Notification Types
| Notification | When it arrives |
|---|---|

| Shift closed | The shift is closed; the message includes a summary report by payment type and refunds |
| Refund | A refund was issued for an order |

| Critical stock exceeded | An item's stock went beyond the critical minimum or maximum |
| Purchase price higher than last time | A receipt has a purchase price higher than the previous one |
| Refusal | A refusal was made for an item or order |
| Price changed | An item's price was changed |
| Discount | A discount was applied to an order |
| Item deleted | An item was removed from an order |
| Exit without saving the order | A cashier exited without saving an order |
| Workstation inactive during working hours | A POS terminal is not responding during working hours |
| Bank terminal report | A bank terminal report was received |
| Receive other employees' reports | Duplicate reports of colleagues working at the same workstations |
Tips
- Notifications about shifts, refunds, and discounts arrive after the POS terminal syncs with the server — usually within a few minutes.
- The "Don't send old notifications" option in the notification settings prevents accumulated old events from being sent when first enabled — only new events will arrive.
- The same phone number must be shared with the bot and specified in the employee card — this is the only way linking works.
FAQ
Notifications are not arriving. What should I check?
- The Telegram integration is activated in the App Store section.
- The employee sent
/startto the bot and shared their phone number. - The phone in the employee card matches the number in Telegram.
- The Telegram button on the employee card was clicked (linking completed).
- The "Send notifications" switch is on and the needed event types are checked.
Can I request a report from the bot at any time?
No. The bot sends event notifications automatically (for example, a summary report when a shift closes), but it does not generate reports on demand.
Is this the same bot as the Paloma365 support chat in Telegram?
No, they are different bots. The @paloma365_notify_bot bot only sends events from your point of sale. For support questions, use the support chat.
