QR Menu

QR Menu lets your customers browse the restaurant menu directly from their phone by scanning a QR code. The menu is hosted at qrmenu.paloma365.com and requires no app installation.

Setting up QR Menu (first time)

Follow these steps to set up, configure, and enable the public QR menu for your account (first-time connection of your catalog to the customer-facing site). Guests do not install an app — you only configure Paloma365 and publish.

  1. Prepare your catalog: design menus, categories, items, and prices under POS > Menu (and related guides) so there is content to show.
  2. Open QR Menu using Path A or Path B in How to access below — either the POS > Menu toolbar or Apps > QR Menu.
  3. On Settings (same as QR Settings from the menu list), optionally choose a Menu Source per location, then Save Settings.
  4. Click Publish QR Menu to sync to the public site. After later changes, use Publish QR Menu or Sync menu as described under Settings.
  5. Switch to the QR Codes tab (or use QR Codes on the POS > Menu toolbar), then Download QR for printing.

How to access QR Menu (dashboard)

You can reach the same features in two ways.

Path A — POS > Menu toolbar

Navigate to Sidebar > POS > Menu. The toolbar includes:

  • Publish QR Menu — syncs the current menu for public access
  • QR Codes — opens the QR code generation and download page
  • QR Settings — opens the per-location menu source settings

Path B — Apps > QR Menu

If Apps > QR Menu is available in your dashboard, open it for a single QR Menu page where settings and QR codes live together:

  • the top of the page shows the public URL name and the account-level QR (for social posts and ads);
  • below it, each location has its own card with address, logo, menu source, direct link, and its own QR code with Download QR / Copy link;
  • the Publish QR Menu, Save Settings, Sync menu and Unpublish actions are all on the same page.

Overview

QR Menu is a public page where customers can see categories, items, prices, and photos of dishes. If you enable online ordering, guests can also place an order right from their phone, not just browse (see Online ordering and table ordering). Until online ordering is enabled, the menu is view-only.

Data is synced from your dashboard to a separate database, so your main server does not receive direct requests from customers.

Publishing the Menu

Step-by-Step

  1. Make sure your menu is configured in POS > Menu (categories, items, prices).
  2. Go to the menu list: POS > Menu.
  3. Click the Publish QR Menu button in the toolbar.
  4. Wait for confirmation — a message will appear showing the number of synced locations.
  5. The menu is now available to customers via QR code.

When to Re-publish

  • After adding or removing items from the menu
  • After changing prices
  • After adding a new location

The stop list updates automatically every 30 minutes — you do not need to re-publish for that.

Generating QR Codes

Step-by-Step

  1. Go to POS > Menu.
  2. Click the QR Codes button in the toolbar.
  3. The page displays:
    • Account QR code — a single code for all your locations
    • Per-location QR codes — a separate code for each location
    • Per-table QR codes — a separate code for each table (for table ordering)
  4. Click Download QR next to the desired code.
  5. The file downloads in SVG format — it can be printed at any size without losing quality.

Three Types of QR Codes

Placement Recommendations

  • For table ordering, print a separate Table QR for each table — the guest's order then appears on the right table automatically
  • If you don't need table ordering, place the location QR on tables
  • Use the account QR code for business cards, websites, and social media
  • Recommended print size: at least 3 x 3 cm

Multiple Locations

If you have multiple points of sale, QR Menu supports them automatically:

  • Account QR code — when scanned, the customer sees a list of all locations with addresses and working hours, and picks the one they need
  • Location QR code — the customer goes directly to that location's menu, with no selection needed
  • If you have only one location, the account QR code automatically redirects to its menu

Each location can have its own menu with different items and prices.

Settings

The QR Settings page (or the Settings tab under Apps > QR Menu) lets you configure the menu source for each location independently.

How to Access

  1. Go to POS > Menu and click QR Settings, or open Apps > QR Menu and stay on the Settings tab.

Public URL Name

The public name used in the QR menu URL (e.g. qrmenu.paloma365.com/{name}) is displayed at the top of the settings page. To change it, go to Account Settings.

For each location, you can choose where the QR menu data comes from:

All itemsUses the entire item catalog (s_items). All categories and items are shown (no schedule).
Specific item folderUses items from a specific folder (group) in the item catalog. Select the folder from the dropdown.
Specific design menuUses exactly one design menu chosen in settings. QR sync loads it by menu id from the API, so it is included even when that menu is not on the location schedule. Select the menu from the dropdown.

Step-by-Step

  1. Open QR Settings from the Menu toolbar.
  2. Each location is shown as a card.
  3. Select the desired Menu Source from the dropdown.
  4. If you chose "Specific item folder" or "Specific design menu", select the folder or menu from the second dropdown.
  5. Click Save.
  6. Go back to the Menu list and click Publish QR Menu to apply the changes.

Important

  • Settings are saved immediately but only take effect after the next Publish QR Menu.
  • If a location has not been synced yet (never published), you must publish first before settings can be saved.
  • The "All items" and "Specific item folder" sources use the item catalog directly, not design menus. Prices come from the item's base price.
  • After you change menu source or the selected folder/menu in the Dashboard → QR Menu app, use Sync menu (or publish) so the next sync runs with a fresh pull; settings-only changes use a forced sync so they are not skipped when POS data timestamps are unchanged.

Online ordering and table ordering

Beyond browsing the menu, QR Menu can take orders directly from the guest. The guest scans the QR, adds dishes to the cart, places the order — and sees a status page for their order that refreshes automatically.

How to enable online ordering

  1. Open Apps > QR Menu and find the Online ordering card.
  2. Turn on the ordering modes you need (you can enable several at once):
    • Accept orders from tables (via table QR) — the guest orders while seated, using their table's own QR code; the order is automatically attached to that table in POS.
    • Pickup — the guest places an order and collects it themselves.
    • Delivery — the guest places an order for delivery to an address.
  3. Optionally set a Minimum order amount (orders below this can't be placed) and a Delivery fee.
  4. In the Online payment dropdown, choose the payment method: Pay on receipt or Halyk QR (Kazakhstan only). See Online payment for QR orders for details.
  5. Click Save.

How a guest places an order

  1. The guest scans the QR code and opens the menu.
  2. They add dishes to the cart and set quantities.
  3. They place the order: for pickup and delivery they enter their contact details (and, for delivery, an address).
  4. If Halyk QR online payment is selected, the guest pays through their bank app; with Pay on receipt, they pay at the register or to the courier.
  5. After placing the order, an order status page opens and updates on its own — the guest watches the order move from "New" to "Ready", "On the way" and "Handed over".

Table ordering (via table QR)

To have orders arrive from a specific table automatically:

  1. Turn on Accept orders from tables in the Online ordering card.
  2. On the QR Codes tab, generate and download a Table QR for each table (see Generating QR Codes).
  3. Print and place each QR on its matching table.

When a guest scans their table's QR and places an order, it appears on the right table in POS immediately — the waiter doesn't need to pick the table by hand.

What Customers See

When a customer scans the QR code, they see:

  1. Location picker (if multiple locations) — cards with name, address, and working hours
  2. Menu — horizontal category tabs at the top, item cards below
  3. Item card — name, price, photo (or placeholder), description
  4. Unavailable items — greyed out with an "Unavailable" badge
  5. Language switcher — in the header (Russian, Kazakh, English, Spanish)

The menu automatically adapts to the phone's dark or light theme.

FAQ

How do I set up QR Menu from scratch?

  1. Prepare menus and items under POS > Menu.
  2. Open POS > Menu (toolbar) or Apps > QR Menu — see How to access.
  3. In Settings / QR Settings, set Menu Source per location if needed, Save Settings, then Publish QR Menu.
  4. Open QR Codes (tab or toolbar) and Download QR for tables or marketing.
  5. Re-publish or Sync menu when you change prices, items, or sources (see Publishing the Menu and Settings).

How often does the menu update for customers?

The menu updates when you click Publish QR Menu. The stop list (unavailable items) syncs automatically every 30 minutes.

Can customers place orders through the QR menu?

Yes, if online ordering is enabled (see Online ordering and table ordering). Then the guest adds dishes to the cart, places the order, and follows its status right in the QR menu. Until online ordering is enabled, the menu is view-only — guests see items and prices, and orders are placed through a waiter or the register.

How do I make orders arrive from a specific table?

Turn on Accept orders from tables in the Online ordering card (Apps > QR Menu), then on the QR Codes tab download and print a separate Table QR for each table. When a guest scans their table's QR, their order is automatically attached to that table in POS.

What languages does the QR menu support?

Russian, Kazakh, English, and Spanish. The language is detected automatically based on the customer's phone settings, with the option to switch manually.

Do customers need to install an app?

No. The QR menu opens in the phone's regular browser.

What happens if I add a new location?

After adding a new location, click Publish QR Menu — the new location will appear in the list, and a QR code will be generated for it automatically.

Is dark mode supported?

Yes. The QR menu automatically switches between light and dark themes based on the customer's phone settings.

For developers or staging environments: Production customer links use qrmenu.paloma365.com, which reads the production QR Menu database. If you published from a local or staging dashboard that syncs to a development Supabase project, that account exists only in dev — use a dev public host (for example devqrmenu.paloma365.com) configured for the same Supabase project, and set VITE_QR_MENU_PUBLIC_BASE_URL in frontend/.env so the QR Codes tab matches.
