Saved notes — Paloma POS 2
This article is about Paloma POS 2 — the new touchscreen Paloma cash-register app. It covers saved notes: reusable text snippets the register inserts with one tap instead of retyping — notes on items and orders, discount and price-change reasons, void/refund reasons, cash-operation reasons and more. Overview
- A saved note is a ready-made text that appears as a tappable chip under the input field in note and reason dialogs. The cashier taps the chip and the text fills the field — no need to type “no salt” or “Guest changed their mind” every time.
- The catalog fills up in two ways: the register remembers automatically any text the cashier typed by hand once (a discount reason, for example), and you can add notes manually in Settings → the Back office section → Saved notes (subtitle “Reusable note snippets for items and orders”).
- Every note belongs to one category, and the category decides which dialog it appears in: an item note shows in the order-line note dialog, a discount reason in the discount dialog, and so on.
- Item and order notes plus discount / price-change / void-refund reasons sync across the devices of your business. Cash, drawer, delivery-cancel and shift-comment reasons stay on the device where they were created.
- Tapping a chip replaces the field text entirely (it does not append), and the “×” on a chip deletes the note from the catalog for good — with a confirmation.
Where the “Pick from saved” chips appear
A chip row headed “Pick from saved” shows under the input field in every note and reason dialog:
- Item note — the note dialog for an order line (e.g. “medium rare”, “no onion”).
- Order note — the note dialog for the whole order (e.g. “birthday party”).
- Discount reason — the manual discount dialog, see “Discounts”.
- Price-change reason — the manual line price-change dialog.
- Void / refund reason — the payment void and refund dialogs, see “Void and refuse”.
- Cash in/out reason — the cash movements screen, see “Reports and cash”.
- Open-drawer reason — the open-drawer-without-a-sale dialog.
- Delivery-cancel reason — the delivery order cancel dialog, see “Delivery and aggregators”.
- Shift comment — the comment on shift close, see “Closing the shift”.
How it works in each dialog:
- If the category has saved notes, the “Pick from saved” header and the text chips appear above the input field.
- Tap a chip — its text fully replaces whatever is in the field. Anything already typed there is overwritten.
- After inserting you can extend or edit the text by hand — it is a normal input field.
- If the category has no notes yet, the chip row does not render at all — you just get the plain empty field.
Autosave: the register remembers what you type
The easiest way to grow the catalog is simply to work. When the cashier types a reason or note by hand and confirms the action (applies a discount, voids a payment, records a cash-in and so on), the register silently saves that text into the catalog for the matching category. Next time the same dialog opens, the text is already waiting among the chips.
- No duplicates pile up: if the same text already exists in the category (letter case does not matter), it is not saved again.
- Autosave is a background convenience: even if the catalog write fails for some reason, the main action (discount, refund, cash movement) still goes through.
Managing the catalog in Settings
Open Settings → the Back office section → Saved notes. The row is visible only after an employee has signed in with their PIN — before that the entry is hidden.
The screen lists every note, grouped into category tabs: Item, Order, Discount reason, Price reason, Void / refund reason, Cash reason, Drawer reason, Delivery cancel, Shift comment.
Add a note
- Tap the Add button. The “Add saved note” dialog opens.
- Enter the “Note text” (hint: “e.g. well-done, no salt, birthday party”). Up to 255 characters; an empty text cannot be saved — the button stays disabled.
- Under “Where this note appears” pick the category: Item note, Order note, Discount reason, Price-change reason, Void / refund reason, Cash in/out reason, Open-drawer reason, Delivery-cancel reason or Shift comment.
- Tap Add.
Edit or delete
- Tap a note row (or its Edit icon) — the “Edit saved note” dialog opens with the current text and category.
- The Delete icon on a row opens the “Delete saved note?” confirmation with the message “{text}” will be removed. Confirm — the note disappears from the catalog and from the chips in every dialog.
- Pull the list down to refresh: the register re-reads the catalog, including notes added on other devices or in the web dashboard.
Empty tabs say: “No item notes yet.” / “No order notes yet.” / “No saved notes in this category yet.” and “Tap Add to create your first.”
Deleting straight from the chips
You can tidy the catalog without visiting Settings: every chip carries a “×”.
- Tap the “×” on a chip — the same “Delete saved note?” confirmation appears.
- Cancel changes nothing; Delete removes the note for good — it vanishes from this dialog and from every other screen.
Deletion is irreversible in the register UI, which is why the confirmation is mandatory: an accidental tap on the “×” deletes nothing.
A note for one specific product
An item note can be bound to a specific product. It then shows only in the note dialog for lines of that exact product; regular (unbound) item notes appear for any product. This way “medium rare” shows up only on the steak and never clutters the coffee. Product-bound notes usually come from the back office; on the register's settings screen they appear in the shared list of the Item tab.
Common problems
- "Не удалось загрузить сохранённые заметки. {error}" — the notes list did not load; retry.
- I don't see the “Pick from saved” chips — the category has no saved notes yet: the row only appears when there is something to pick. Type the text by hand once (it saves automatically) or add a note in Settings → Back office → Saved notes.
- There is no “Saved notes” row in Settings — no employee has signed in with a PIN yet. The catalog-management entry is visible only after an employee signs in.
- I tapped a chip and my typed text disappeared — that is by design: a chip replaces the field content, it does not append. Pick the chip first, then add details.
- The same note multiplied with different wordings — autosave stores the text exactly as typed, so “Guest changed mind” and “guest changed mind!” are two different notes. Remove the extras with the “×” on the chip or on the settings screen.
- A note exists on one register but not on another — cash, drawer, delivery-cancel and shift-comment reasons are stored locally per device. Item and order notes and discount / price-change / void-refund reasons do sync across devices. If a syncable note has not shown up, pull the list down on the Saved notes screen.
- Could not load saved notes — the register failed to read the catalog. Pull the list down to refresh; check connectivity.
FAQ
Do I need to set anything up in advance?
No. Typing a reason or note by hand once is enough — the register remembers it automatically, and next time the dialog opens the text appears among the “Pick from saved” chips. Settings are only needed if you want to prepare a list up front or clean it up.
Does a chip append to what is already typed?
No, tapping a chip overwrites the field entirely. After inserting you can freely edit the text by hand.
How do I delete a bad note?
Two ways: tap the “×” right on the chip in any dialog and confirm Delete, or open Settings → Back office → Saved notes and delete the row there. The “Delete saved note?” confirmation shows in both cases.
Can a note apply to just one product?
Yes, an item note can be bound to a specific product — it then shows only in that product's note dialog. Unbound notes show for all products.
Will other registers see my notes?
