Items editor — Paloma POS 2

This article is about Paloma POS 2 — the new touchscreen POS app in the Paloma line. It covers the built-in items editor: how to create a group and an item right on the register, set the unit of measurement and price, configure a by-weight item with a PLU, add a barcode, edit or duplicate a card, and mark an item in or out of stock. Overview

  • The items editor opens right on the register — no need to switch to the web dashboard. Changes sync, and the register re-reads the catalog without a restart.
  • The catalog is a tree: groups (categories) hold items and nested subgroups, and groups hold items.
  • An item has a price type: «Fixed» (one price), «Open» (the cashier enters the price at sale time), and «By weight» (price per unit of weight).

Step 1. Open the items editor

Open the side drawer and tap the «Item editor» row. A groups screen opens with the title «Menu items». The register home menu may also carry a catalog tile that opens the same editor.

On the groups screen you can:

  • use «Search groups» to find a category by name;
  • tap «Add group» to create a category;
  • tap «Preview» to see how the catalog looks to the cashier on the order screen.

Two catalog editors

The app currently ships two catalog editors, and that is not a bug. In English both rows are titled «Menu items» — tell them apart by the subtitle:

  • The row with the subtitle «Redesigned editor — groups and items» is the updated editor described in this article. It opens from the «Item Editor» row in the side menu, the tile on the main menu screen, and the matching row in Settings → Back office.
  • The row with the subtitle «Manage groups and items» is the previous editor. It stays available in Settings → Back office (right above the updated one), and it is also what the «Advanced settings» button opens when you long-press an item or a category on the order screen.

Differences: the updated editor has nested subgroups, drag-to-reorder and a cashier-grid «Preview»; the previous one works with a flat, single-level list of groups. Both editors save into the same catalog — an item created in one is visible in the other.

Step 2. Create a group

  1. Tap «Add group» — the «Add group» form opens.
  2. In the «Basics» section, enter the group «Name».
  3. To nest the group, pick a parent in «Parent group»; for a top-level category leave «Top level (no parent)».
  4. Set «Sort #» if you need to control its position in the list.
  5. Tap «Save».

You can also create a nested group in context: open a category and tap «Add subgroup» — the parent is prefilled, and the new subgroup shows under the «Subgroups» section.

Step 3. Create an item

  1. Open the group you are adding to and tap «Add item» — the «Add item» form opens.
  2. «Basics» section: enter the «Name», and optionally the «Alternative name» and «Description». Check the «Parent group».
  3. «Pricing» section: pick the «Unit of measurement» (required), choose the price type and enter the «Price»; optionally set the «Cost».
  4. «Codes & inventory» section: fill in «Barcode», «Articul / SKU», or «PLU» if needed.
  5. «Availability» section: mark where the item sells — «POS», «Delivery», «Pickup».
  6. Tap «Save» — the item appears in the group and becomes available on the order screen.

The unit of measurement is required: saving fails with no unit selected. The unit list comes from the account-wide reference book.

Step 4. Price type: fixed, open, by weight

In the «Pricing» section pick one type:

  • «Fixed» — one fixed price at sale time.
  • «Open» — the cashier enters the price at the moment of sale; in the catalog such an item shows the «Open price» hint.
  • «By weight» — the item sells by weight. For a by-weight item pick the basis in «Price per»«kg» or «100 g».

A by-weight item is usually sold by a scale barcode or a «PLU» code. How the register parses a scale barcode and finds the item is in «Scales, barcodes and PLU».

Step 5. Barcode and PLU

  • «Barcode» — in the «Codes & inventory» section. The scanner finds the item by this code on the order screen.
  • «PLU» — a short numeric code in the «Pricing» section (for by-weight and frequently sold items).
  • «Articul / SKU» — an internal accounting code.

Counter fields such as «Sort #» accept whole numbers only — otherwise the register shows «Must be a whole number».

Step 6. Availability, marking and client data

The «Availability» section controls where and how an item sells:

  • «POS», «Delivery», «Pickup» — sales channels.
  • «Require marking code» — the register will ask for a marking code when the item is added to a check. See «Marking and the national catalog».
  • The register can also require customer data on sale.

For goods under the national catalog (NTIN / НКТ), the «Codes & inventory» section has the «NTIN / НКТ code» field and a «Fill from НКТ» button that pulls data by barcode.

Step 7. Edit, duplicate, mark out of stock

  • Edit. Tap an item to open the «Edit item» form (for a group — «Edit group»). Make changes and tap «Save».
  • Duplicate. The item card has a «Duplicate» action — it creates a copy tagged «(copy)» for you to rename and adjust.
  • Mark out of stock. «Mark out of stock» hides the item from the order screen (an «Out of stock» tag); «Mark in stock» returns it. A lasting stop-list is in «Stop-list».
  • Delete. The edit form has «Delete»; the register asks for confirmation.

Reorder groups and items by dragging: hold a row and move it — the new order persists and survives leaving and re-entering.

Common problems

  • "Эта позиция недоступна локально." — the item has not reached this device yet: tap the cloud sync icon and retry.
  • "Не удалось загрузить каталог…" / "Не удалось загрузить позиции этой группы." — the same for the catalog and the group.
  • "Не удалось загрузить изображение: {reason}", "Ошибка выбора изображения: {code}" — the picture did not upload; the item saves without it.
  • «Name is required.» — the «Name» field is empty. Enter a name and save again.
  • «Must be a whole number» — a numeric field (such as «Sort #») got a non-integer value. Use a whole number.
  • No unit selected — an item cannot be saved without a «Unit of measurement». Open the «Pricing» section and pick one.
  • «Could not update stock. Try again.» — the in/out-of-stock toggle failed. Check the connection and retry.
  • «Image will upload when online» — the picture was added offline; it uploads once the internet is back. This is not an error.
  • New item not visible on the register — go back to the order screen and reopen the menu: the catalog re-reads without a restart. If it is still missing, wait for sync or check the stop-list.

FAQ

Can I create items on the register instead of the dashboard?

Yes. The items editor is built into Paloma POS 2: open the side drawer → «Item editor», create a group and an item. The data syncs to the account-wide catalog.

What is the difference between fixed, open and by-weight?

«Fixed» — one price at sale time. «Open» — the cashier enters the price at the moment of sale. «By weight» — the price is per unit of weight («kg» or «100 g»), and the item usually sells by a scale barcode or a «PLU».

How do I set up a by-weight item with a PLU?

In the «Pricing» section pick «By weight» and the basis in «Price per», and enter the code in «PLU». How the register reads a scale barcode is in «Scales, barcodes and PLU».

I created an item but it is not on the order screen. What now?

Check that «POS» is on in the «Availability» section and the item is not in the stop-list. Then go back to the order screen and reopen the menu — the catalog re-reads. If the item is brand new, wait for sync.

How do I add similar items quickly?

Create one item, open it and tap «Duplicate» — a copy tagged «(copy)» is created with the same settings; just rename it and adjust the price.

How do I pull a dish from sale temporarily?

In the items list use «Mark out of stock» — the item hides from the order screen. Bring it back with «Mark in stock». For schedules and longer stops see «Stop-list».
